We utilize NOVAtime for our payroll, timekeeping, and scheduling systems whilst integrating seamlessly with our HR office suite. Previously we had three separate software programs to handle each aspect for our staff, which was inefficient and lead to human errors. I am the main user of NOVAtime for our organization and I work closely with IT, HR, and managers to ensure we are utilizing it to the fullest potential to fit our organizational needs.

  • Generating reports can be cumbersome and is limited in terms of parameters.
  • Auto generating schedules is a great tool but rather than 'x' number of days I wish a date range was available.
  • Editing and updating the ASM is very time consuming.
  • Generating schedules is solely qualification based with little nuance for an employee eccentric approach.
We continue to remain the only professional baseball team that utilizes NOVAtime for our scheduling of staff, mostly because it was designed to schedule hospital workers. The lag time when updating the ASM is extremely time consuming and the inability to work in multiple internet tabs or windows makes it that much more inefficient. I am sure it is a fantastic system for other organizations but it continues to be a challenge for us.

We have a point of contact internally who will reach out to Ascentis with questions and turnaround time is usually pretty quick. However, we have noticed that support of NOVAtime will eventually be discontinued.

  • The ability to have multiple check in locations for our game day staff has allowed us to be more efficient with staffing. Rather than one location indoors that would back up easily our employees can now go to their specific briefing area more quickly.
  • Since generating schedules on a monthly basis across multiple departments is very time consuming the ability to auto generate during non-business hours has been a tremendous help.
  • I don't believe we will be utilizing the software much longer as it is limited to meet our business needs.
The overall satisfaction within the organization has been luke warm, at best. The software may be more conducive for a hospital but I believe there is a reason why we are the lone baseball team utilizing it.

Price. HR Suite is viewed as the better software but at least three times the price.
Unfortunately I don't think we would have. Going into the negotiations we were promised many features that were never followed through. Ascentis' acquisition of NOVAtime enabled them to offer a more competitive suite of products. More likely than not we will look for an HR software alternative.

Novatime is used by our entire organization. We have physical time clocks for our driver and warehouse personnel, and mobile and online access for all other employees. All information flows over to our timekeeping system for payroll tracking. All PTO, bereavement, sick pay, etc. are tracked on Novatime and is readily accessible with the various reports they offer. With the Novatime and Ascentis integration, everything just flows perfectly from Timekeeper to our payroll module.
  • The report database is very extensive--there is a report for everything
  • Easy to use
  • Various ways for EEs and supervisors to access information
  • For people who don't use it often, they often forget how to navigate the site
  • Be able to narrow down PTO options by company
It does all aspects you need for timekeeping and PTO accruals. They also have back-end options to apply rules to applied breaks or PTO rollovers from year to year. The system is very complex, but at the same time, very simple to use.

We use NOVAtime throughout our whole organization for our non-exempt employees, recording their time in timesheets. It's been a great improvement on what we used previously (Ceridian time & attendance), especially with ease of use for administrators, expansion of schedule types, 9/80 work schedules, etc.

  • User experience has also been really appreciated by our non-exempt employees when punching in and out.
  • There does need to be more support and knowledge when it comes to alternate workweek schedule types (9/80, etc.), as there have been a few unique challenges with those.
NOVAtime is an excellent choice for employers who need a timekeeping solution with an easy-to-use and understand user interface, great user experience, and great support from the Ascentis user support teams.
  • We've had great positive impact from our employees and supervisors, who have been really appreciative of improvements over our last timekeeping system.
  • Less time has been spent in dealing with system issues/errors for timesheets, etc.
Novatime has been a ground-up overall improvement over our previously used timekeeping system (Ceridian), and the user experience overall has been well received. We selected Novatime over other timekeeping systems as it had the best user interface, and flexibility when it came to adding additional schedule types, pay policies, and pay codes.

Our company of 60 employees all use NovaTime as our time management system. Exempt or non-exempt employees all use it to either log their hours, request/submit PTO, or view the company-wide PTO request off.
  • Processing payroll is quite simple.
  • PTO request off is straight forward.
  • It's rather intuitive in use.
  • It can be very slow and delayed in punches.
  • It doesn't always capture everyone's punches immediately.
  • There are quite a few areas where you have to be mindful of saving it correctly otherwise the information is all lost and that can be frustrating for users.
I was part of the launch of NovaTime for our company and the transition was received rather well because it is a rather intuitive and straight forward system from the user side. The main frustration that our users have had are with the non-exempt employees who have to clock in. The system can be delayed or miss punches that individuals have tried to make. Overall, customer support has been very helpful, and for the most part, rather timely.
  • We have had a few scenarios where the PTO accrual dropped off and it did take 3 attempts of reaching out to customer service to get it sorted.
  • The customer service team has collaborated with me in creating new PTO categories to automate certain needs to save me some time.
Overall, NovaTime does meet our needs and it is quite simple to use. I am the main admin and the ability to pull reports and process payroll is really quite simple and straight forward. To add new employees and remove old ones is very easy as well. I also am a user and clock in and out daily and the use of that interface is really easy as well.

We are currently using Novatime across our whole organization. In one department, we have it set up as a kiosk for employees to punch in and out during their shifts as an electronic timecard. The nice thing is that we can put in our own schedules for employees and it will match up their actual hours to their scheduled hours. In another department, employees are able to put in the number of hours they work per day and Novatime calculates the hours per week and/or pay period. Another department of salaried employees does not need to enter hours at all as Novatime will fill in the salaried hours; nevertheless, it does give the employees a chance to edit hours for PTO request and/or holiday hours.
  • It has some really nice scheduling features that allow managers to see the difference between hours expected to work and actual hours worked as well as overtime, absences, and non-scheduled shifts.
  • There are easy ways you can transfer a manager's caseload/employees to another manager temporarily if that person is going to be out of the office for an extended period of time without giving away too much personal information - just what would be needed for payroll or time off requests (this can be customized by your administrator).
  • The program itself can be customized in many different ways to meet the needs of the company/organization that it is working with.
  • The charts/graphs on the new homepage are somewhat helpful and link to useful information.
  • You cannot write your own reports. All of the reports are canned ones and if you want one that is not included, you have to go through their design team and pay for it to be added to the list.
  • Since they have "upgraded" their tabs and added things to their pages, their site has slowed down and it takes much longer for some of their pages to load because of the amount of information that is now stored on each of their individual pages. It is nice to have all that information on one page, but it does take longer for it to come up.
  • The scheduling system is set up for organizations that have set schedules and/or multiple people on the same schedule (i.e. 3 people who work 9-3; 5 people who work 3-7; 4 people who work 4-11). If you have only one person who works each individual shift, the scheduling feature is not as helpful. It still works to show actual vs. worked hours and such; however, it will not work as easily to help fill in missing spots if one of your employees is on leave and/or absent.
I believe that Novatime would be well suited for a business that has multiple people working the same or similar shifts. I would think that such places like a fast-food restaurant, hotel/hospitality industry, movie theater, and/or retail store would be a place where something like this would be a place where this software might flourish. In small businesses who have personalized care settings and jobs where the hours may change from day to day, I would recommend this particular timekeeping software.
  • It has helped us identify which employees have consistently had OT.
  • It has helped us identify which departments have consistently had OT and/or not utilized their staff to keep OT in check.
On the employee's side of things, Novatime is pretty intuitive and fairly easy to use. All they have to do is either press a button to punch in or punch out. If they are entering in their hours, all they have to do is type in the number of hours per day.

On the manager's side of things, Novatime is also fairly easy to use. It highlights in red any missed punches and in green any OT that the employee has. There are links on the homepage of the manager's page that will lead them to a list of all their employees' missed punches for a pay period and they can fix them all before payroll is due.

Novatime becomes a bit more complicated on the administrator's side. The issues I have run into with Novatime normally come after updates/upgrades to their system. They have been getting better, but the administrator's side is still a bit clunky and takes a while to find what you are looking for. It is not as intuitive as the other sides and takes a bit of computer knowledge to figure it out.
The customer support at Novatime has been incredibly helpful any time that we have called them for support. Whether it was in the beginning when we were setting up the system or later on after the system had been set up and we had questions because either a rule was not working correctly or something was not calculating right. They were very patient, thoughtful, and worked with us until the problem was solved.
